Deutsche Pharma improves traceability in procurement thanks to wherEX

Before implementing wherEX in its procurement and tendering processes, Deutsche Pharma was one of hundreds of companies that have to deal with tedious traditional quotation and tendering processes. Dozens of calls and emails to chase suppliers, struggling to get at least 3 bids and hundreds of data stored in Excel files. And of course, lack of traceability in procurement, which translates into lack of transparency.

All those problems are now a distant horizon since they use wherEX for 40% of their procurement. In just two years since implementation, they have seen significant benefits, so they expect to gradually increase that percentage of usage to 100% for their non-strategic spend. In fact, they are no longer receiving any quotes outside of the platform.

"Our number of suppliers has grown significantly, we now have many more options when it comes to purchasing," said Lorena Rojas, who is in charge of purchasing and a regular user of the platform. "This helps above all with the issue of order, time and control. For example, if I close a tender tomorrow, I know when I can have the purchase order ready. This saves time and makes the whole process more efficient.

Traceability in purchasing and reporting

Through the reporting system and the analytics module offered by wherEX, the procurement department led by Rojas can better visualise and analyse what they are spending on, exactly how much they are spending and what the criteria are when awarding a tender.

"Now we can get the history of everything that has been tendered and based on that we can draw various conclusions. The platform is very useful because you can go back to older things, see what happened at the time, why the cheapest supplier that was participating in a particular tender was not chosen, among other things. The reporting helps me to present that information to the management areas and thus draw important analyses for our business," Rojas said.

In this way, the pharmaceutical laboratory has been able to see the multiple benefits of incorporating this new e-procurement technology, based on Artificial Intelligence. Thus, together with the automation of procurement processes, fair tendering processes are generated, where free competition and equal opportunities are at the centre of each transaction.
